Invite a teammate to your WACRM workspace
WACRM lets the workspace owner invite teammates to work the WhatsApp inbox without sharing a password. This tutorial covers the invite link, what Staff can and cannot see, how a new member signs in and picks a project, how to revoke access, and what your plan's seat limit means in practice.

Most workspaces outgrow a single login quickly — someone needs to answer chats while the owner is away, without handing over the one password that controls billing and API keys. WACRM’s Team screen lets the owner invite a teammate with their own sign-in, scoped to working the inbox. This tutorial walks the real invite flow, what the teammate can and can’t do once they’re in, how they pick a project if they belong to more than one, and what a plan’s seat limit actually means.
What you need before you start
- A WACRM Workspace account that owns a project — only the owner can invite teammates today.
- A free seat on your plan (see Seat limits per plan below).
- Your teammate’s email address.
Invite a teammate from Team
- Open Team in the sidebar (Workspace Setup section).
- Click Invite member. If this button is disabled, your account is signed in as Staff, not Owner — only the owner can invite.
- In the Invite a team member dialog, fill in Email (required) and Name (optional). The Role field shows Staff, disabled, with the note “Staff is the only role available today” — there is no other role to pick yet.
- Click Send invite.
If your plan has no free seat left, the dialog closes and WACRM opens the Plans & Upgrade dialog instead — see Seat limits per plan. If the email already holds an active seat, the dialog stays open with an inline message and nothing changes.
On success, the dialog shows the Invitation link with a Copy link button. This is the only way to deliver the invite today — WACRM does not send an email automatically yet. Copy it and share it with your teammate yourself (chat, email, however you’d normally reach them), then click Done.
What the invite link does
The link opens /team/accept/{token} — a public page your teammate can open without being signed in yet. It shows
“You’ve been invited to join a WACRM workspace” and a single Accept invitation button. Clicking it marks the
invite Active and shows “Invitation accepted” with a Sign in link to the real login page.
A few things worth knowing about this link:
- It’s a one-time token. If you close the invite dialog without copying the link, you can’t get it back — invite the same email address again instead. WACRM reuses the invited row and issues a fresh link rather than erroring.
- An expired or already-used link shows “This invitation is invalid or has expired” with no way to retry — the owner has to send a new invitation.
- Accepting the invite does not sign your teammate in by itself. They still need to create or confirm their WACRM sign-in and verify that account’s email address before WACRM will recognize them as an active member — an accepted invite on an unverified email does not grant access yet.
Roles today: Owner and Staff
Staff is the only role that exists beyond Owner — a deliberately simpler model than, say, Meta’s own multi-level Business Manager roles for a WhatsApp Business Account, which split “partial access” (phone numbers and message templates) from “full control.” Once signed in, an accepted teammate can work the inbox: contacts, conversations, tickets, bookings, message templates (reading them — not creating or submitting new ones), broadcasts (reading, not sending) and the AI reply/translation helpers.
Staff never sees these in the sidebar at all — not grayed out, removed entirely:
- Developer / API & MCP
- Wallet & Token (and everything under it: AI Workflow Plans, usage, transactions, billing profile, invoices)
- Settings → Billing
- Settings → Audit log
This isn’t only a sidebar trick. Billing, API key creation/rotation/revocation, webhooks, audit logs, team invite/revoke, and erasing a contact’s data are all refused on WACRM’s server for a Staff session too, the same kind of HTTP authentication/authorization refusal any protected API gives an unauthorized caller — reaching one of those pages or calling its API directly (not just clicking a hidden menu link) gets the same refusal a complete stranger would get, not merely a hidden button.
How a member signs in and picks a project
Your teammate signs in the normal way, at the same login page you use. From there:
- If they’re an active member of exactly one project (yours), WACRM resolves it for them automatically — no picker, straight into the workspace.
- If they’re an active member of two or more projects, a project picker shows each one with a role chip (Owner or Staff) so they can tell which is which, and they can switch between them from the store switcher later too.
- If their invite is still Invited (not yet accepted) or their sign-in email isn’t verified, they won’t resolve into your project yet — accepting the link and verifying email both have to be done first.
Revoke a teammate
There’s no separate “remove” action — Revoke is how you take a teammate’s access away. From the Team screen:
- Find the teammate’s row and click Revoke.
- Confirm in the dialog, which names their email address and reads: will immediately lose access to this workspace. This cannot be undone.
Revoking takes effect on their very next request, not just the next time they sign in — so it isn’t something a still-open browser tab can work around. A revoked row frees its seat back up for a new invite. Revoking is final: inviting that same email again starts a fresh invitation, not a restore.
Seat limits per plan
Each paid plan includes a number of seats for teammates, counted separately from the project owner — the owner never uses up a seat of their own:
| Plan | Seats included (besides the owner) |
|---|---|
| Premium | 2 |
| Advanced | 5 |
| Pro | 15 |
| Enterprise | Not stated as a fixed number — check your plan in Settings |
A seat counts while a teammate’s row is Invited (pending) or Active — revoking frees it immediately. Re-inviting an email that already holds a seat doesn’t use up a second one.
Your current usage shows at the top of the Team screen. Invite past the limit, and WACRM opens the Plans & Upgrade dialog with a line like “You’ve reached 2 of 2 seats” and an Upgrade button — nothing is deleted, downgraded, or auto-charged; you simply can’t add another seat until you upgrade the plan or free one up.
What works today vs. what’s not yet there
| What you want to do | Works today? |
|---|---|
| Invite a teammate as Staff | Yes — Team → Invite member (owner only) |
| Have the invite emailed automatically | Not yet — you copy and share the one-time link yourself |
| Choose a role other than Staff | Not yet — Staff is the only invitable role |
| Let Staff invite or revoke other teammates | No — invite/revoke is owner-only |
| Sign in as an invited, active, verified teammate | Yes — resolves straight into your project if it’s their only one |
| Auto-resolve into the right project with 2+ memberships | Partial — a project picker shows all of them, with no auto-pick |
| Hide Billing, API keys, and Wallet & Token from Staff | Yes — removed from the sidebar, and refused by the server too |
| Add an AI agent as a team member | Not yet — the Team screen’s AI agents section is a placeholder |
| Revoke a teammate’s access immediately | Yes — takes effect on their very next request |

Frequently asked questions
Can a Staff member invite other teammates?
No — only the workspace owner can invite or revoke team members today. The Invite member button is disabled for a Staff session, with the tooltip "Only the workspace owner can invite new team members."
Does the owner count toward my plan's seat limit?
No. WACRM counts a seat for every invited or active teammate, but the owner has no seat row of their own and is never counted — so a Premium plan's 2 seats means 2 teammates besides you, not 2 people total.
What happens if I invite someone past my plan's seat limit?
The invite is refused, and Workspace opens the Plans & Upgrade dialog showing a seat-usage line like "You've reached 2 of 2 seats" next to an Upgrade button. Nothing is deleted or downgraded — you just can't add another seat until you upgrade or revoke one.
Is the invitation sent by email automatically?
Not yet. Sending the invite creates a one-time invitation link that you copy and share yourself — there is no automatic email today. If you close the dialog without copying the link, invite the same email address again; WACRM issues a fresh link rather than erroring.
Can a Staff member reach Billing or API keys if they guess the URL?
No. Billing, API keys, webhooks, audit logs and team management are blocked on WACRM's server for a Staff session, not just hidden from the sidebar — visiting the URL directly, or calling the API directly, gets refused the same way a stranger would.
